To modernize the workflow, the team built a customized Canvas app supported by a structured data source that houses the college’s program review template. The solution introduced: 

• A standardized set of annual questions feeding directly into the app 

• A guided submission and approval workflow for each year of the four‑year cycle 

• The ability to pull previous year’s answers forward, ensuring continuity and reducing duplicate work 

• Centralized data storage for all programs and all years 

• A one‑click export option to generate public‑facing summaries for transparency requirements 

  
  

By consolidating submissions, approvals, and reporting into one system, the college gained a uniform, repeatable process for all academic programs.  

Impact 

While this was the first full cycle using the system, the college has already experienced meaningful improvements: 

• Consistency across programs: Validation rules and standardized templates ensure all programs provide the same types of information in the same format. 

• Time savings for faculty and administrators: Pulling prior-year data forward reduces manual rework each year of the cycle. 

• Reduced administrative burden: Staff no longer need to compile large sets of documents manually for public posting. 

• Centralized record‑keeping: All program data now lives in one place, enabling longitudinal reporting and institutional oversight.

Although exact time‑savings numbers are not yet available, stakeholders anticipate substantial reductions in administrative effort.
