Problem 


A mid‑sized construction and real estate company struggled with the manual, repetitive work required to set up each new sales opportunity and project. For every construction engagement, staff needed to create Office 365 groups, configure SharePoint sites, establish Microsoft Teams channels, and build out the correct file structures. These tasks were performed by hand and varied from one project to another, resulting in inconsistent setups, unnecessary delays, and errors that created confusion across teams. As project volume increased, the organization needed a more reliable and automated way to standardize project initiation and reduce administrative burden. 


Solution 


To streamline and standardize the process, the team designed two integrated Logic Apps that connected directly with the company’s existing Dynamics CRM system. Whenever a new opportunity reached the appropriate stage in CRM, the Logic Apps automatically: 


  • Created the necessary Office 365 group and corresponding permissions 

  • Stood up a SharePoint site with a standardized file structure 

  • Generated a Microsoft Teams workspace and assigned the correct members 

  • Distributed notifications to the appropriate project team members 

  • Ensured data and structure alignment between CRM, Office 365, and SharePoint 


By embedding automation into the lifecycle of each project, the company established a seamless and repeatable project‑creation workflow requiring no manual intervention. 


Impact 


The automated solution delivered immediate operational improvements across the company. Project teams no longer needed to spend time building out file systems, creating sites, or coordinating access. Instead, new projects were created instantly and consistently, freeing team members to focus on core work. 


This shift resulted in significant time savings and fewer administrative mistakes. Collaboration improved because teams began every project with the same structure, tools, and communication channels already in place. Leadership gained better visibility into project setup status, and resource assignments became more accurate thanks to automated user provisioning.
