Problem 


During the COVID‑19 pandemic, a large, multi‑location childcare organization faced the urgent need to track daily health information for more than 500 staff members and program participants. CDC guidelines required consistent monitoring of symptoms and test results, but the organization also had to ensure that families and employees could enter facilities quickly each morning. Long lines or manual checks simply weren’t feasible. 


Because the community they served spoke multiple languages, the solution also needed to be fully multilingual so every parent and staff member could participate without confusion. At the same time, the sensitive nature of health information meant the process had to be secure, private, and reset every night to ensure fresh daily compliance. Balancing speed, accuracy, accessibility, and safety became increasingly difficult using the manual and ad‑hoc methods in place, creating operational strain during an already challenging time. 


Solution 


The PowerApps911 team developed a multilingual, mobile‑friendly health screening app to streamline daily COVID‑19 safety checks. The solution allowed parents, staff, and caregivers to: 


  • Submit symptoms and test results in their preferred language. 

  • Receive an instant visual indicator—a bright green screen if they met entry requirements. 

  • Present the green screen at facility entrances for quick, contactless verification. 

  • Trigger automated follow‑up when appropriate, ensuring individuals with concerning symptoms or positive results were routed to Human Resources for guidance. 


On the backend, submissions were securely stored and protected using modern Microsoft technologies, including SharePoint, Power Apps, MS Forms, Cognito, and Power Automate.  


Impact 


The new system dramatically improved operational safety and efficiency across all locations. Families and staff could complete their health checks in seconds, reducing bottlenecks at facility entrances. The visual pass/fail indicator made it easy for staff to enforce safety protocols without manual review of forms or paperwork. 


By consolidating symptom tracking and test result reporting into a single process, the organization maintained a high level of confidence in its COVID‑19 safety procedures. HR gained the ability to quickly identify and follow up with individuals reporting symptoms, reducing risk and improving response times. Overall, the solution increased trust, reduced administrative burden, and supported the organization’s commitment to keeping children and staff safe during a critical period.
